How to create and add tags or notes to an employee

If you want to create and add a tag or a note for an employee, you can easily do it through the Ben Admin Portal! ✨

Keep in mind that both tags and notes can be connected to programmes or specific benefits, ensuring that users are automatically enrolled in benefits as soon as a relevant tag or note is added.

If this applies to you - it should be set up during your onboarding/benefit setup.

Below, we've provided step-by-step instructions for your convenience. 👇


Creating Tags

If the tag's already been created, you can skip this step and proceed directly to assigning the tag.

If you'd still like to create it, navigate to the People tab within the Ben Admin Portal.

From there, you have two options:

  1. Create the tag manually by clicking on a user's profile.

  2. Use the CSV import feature by clicking on the Import Users button.

1. Manually through the ECC

Once you've clicked into a user, navigate to the Tags dropdown. There, you'll have a list of pre-existing tags that you can use.

If you want to create a completely new tag, it's a simple as the steps below:

  1. Type your desired tag name in the provided box.

  2. Click the "Create" button to save the tag.

And that's it - you're all set!

2. Through CSV import

To add tags through the CSV import feature, follow these steps:

First, click on Import Users.

Then, download the CSV template provided.

In the template, locate the tags_list field. This is where you can create a new tag while manually adding new users to the platform!

❗️Additionally, you can also include notes for users. More information on this is provided below.

Assigning Tags

Once you've successfully created or imported tags, you'll find them in the tags list within a user's profile under the People tab.

From there, you can easily apply these tags to any users as needed. 🔥


Creating Notes

If notes are something to be used for your programmes or benefits, this would be discussed with you during your onboarding/benefits setup.

You can include notes for users when importing CSV files. However, please note that you won't be able to view these notes within the Ben Admin Portal as they're mainly intended to be connected to programs or benefits.

To add a note, click Import Users.

From there, download the CSV template provided.

In the CSV template, you'll find a specific field note where you can input notes when manually adding new users to the platform.
