How to fill out and complete missing requirements on user profiles within the platform!

It's important to ensure your employees do not have missing requirements within their profile. The purpose of this feature is to highlight missing information, so this can easily be corrected by your admin team to avoid benefit and allowance enrollment issues!

You can access this feature from the People section of the admin portal.


Statuses explained

There are 4 different status' to indicate the status of an employees onboarding:

  1. Setup complete - the employee's information is complete and they are ready for benefit and/or allowance enrollment.

  2. Awaiting user confirmation - the employee needs to login and complete the information on their profile*. This can't be done on their behalf by an admin but you can re-send the invite email to trigger your employee to action this.

  3. Enrolment data missing - an admin must action this missing data by either:

    1. If you do not have your HR system integrated with Ben - download the CSV in the missing requirements banner, update the missing data then re-upload the CSV back onto the platform

    1. If you do have your HR system integrated with Ben - you must download the CSV to view the missing requirements and update this data in your HR platform

  4. Inactive - the employee is no longer active in Ben

*They may need to either set up a passcode for their Ben card and/or add some personal details as they go through the sign up flow if they are eligible for benefits.


Actioning "Enrollment data missing"

In order to action the enrollment data missing status, you need to:

  1. Download the CSV file from the missing requirements banner at the top of the people page

  2. The CSV will then display all of the missing information to be completed

  3. Fill in the information marked as 'Missing'

  4. Import the CSV back into the platform using the 'Import Users' button at the top right of the people page or you must update the missing values within your HR system if you have this integrated with the Ben platform. The data will be updated on the next sync.

    โ—๏ธWhen importing the .csv please select whether you want blank cells to override existing data or not, as you won't be able to proceed with uploading without selecting an option.โ—๏ธ


Formats accepted when filling out the CSV

We require certain fields in the CSV to be formatted in a specific way in order for the data to be uploaded successfully. Please refer to the table below for guidance on this.

AW, AF, AO, AI, AX, AL, AD, AE, AR, AM, AS, AQ, TF, AG etc. (please use alpha-2 code)

Gender

MALE, FEMALE, NOT_SPECIFIED

Marital Status

SINGLE, MARRIED, DIVORCED, SEPARATED, WIDOWED

Title

MR, MRS, MISS, MS, OTHER

Salary Currency

ADP, AED, AFA, AFN, ALK, ALL, AMD, AUD, USD, GBP etc.

Home Address Country

AW, AF, AO, AI, AX, AL, AD, AE, AR, AM, AS, AQ, TF, AG etc. (please use alpha-2 code)
