How to create and add tags or notes to an employee

Need to organise your team or link employees to specific programmes or benefits? You can easily create and manage tags and notes in the Ben Admin Portal.

Both tags and notes can be connected to certain programmes or benefits — meaning employees can be automatically enrolled once a matching tag or note is added.
If that applies to your setup, it’ll have been configured during your onboarding or benefits setup process.


Creating a Tag

If the tag you want already exists, you can skip ahead to Assigning Tags.

To create a new one:

  1. Go to the People tab.

  2. Search for the employee you’d like to create a tag for.

  3. Click into their profile.

  4. Select Edit (top right, next to Basic Information).

  5. Find the Tags dropdown menu.

  6. Start typing your new tag’s name.

  7. Click Create on the right-hand side to add it.


Assigning a Tag

To assign an existing tag to an employee:

  1. Go to the People tab.

  2. Search for the employee.

  3. Click into their profile.

  4. Select Edit.

  5. In the Tags dropdown, choose the tag you’d like to assign.


Assigning Tags in Bulk

Got a bunch of employees to tag at once? You can do that using a CSV file.

  1. Go to the People tab.

  2. Click Import Users.

  3. Select Download CSV to grab the template.

  4. Fill in the required details (like name and email).

  5. Add the relevant tag(s) under the tags_list column.

  6. Save your file and re-upload it to Ben.

Once uploaded, your tags will automatically apply to the right users.


Creating Notes

If your company uses notes as part of benefits or programmes, that setup will already have been discussed during onboarding.

Notes can also be added when importing users via a CSV file — though keep in mind they won’t appear in the Ben Admin Portal itself. They’re mainly used behind the scenes to connect employees with certain programmes or benefits.

To add a note:

  1. Go to the People tab.

  2. Select Import Users.

  3. Click Download CSV to open the template.

  4. Add your note in the note field for each user.

  5. Save and re-upload your file to apply the updates.
