Adding Tags and Notes for Employees in the Ben Admin Portal
You can easily create and manage tags or notes for employees within the Ben Admin Portal.
Both tags and notes can be linked to specific programmes or benefits, allowing users to be automatically enrolled once a relevant tag or note is added.
If this applies to your setup, it will have been configured during your onboarding or benefit setup process.
Creating Tags
If the tag you want to use already exists, you can skip this section and move straight to Assigning Tags.
To create a new tag:
Go to the People tab.
Search for the employee you’d like to create a tag for.
Click into their profile.
Select Edit (in the top-right corner next to Basic Information).
On the new page, find the Tags dropdown menu.
Start typing the name of your new tag.
Click Create on the right-hand side to add it.
Assigning Tags
To assign an existing tag to an employee:
Go to the People tab.
Search for the employee.
Click into their profile.
Select Edit (in the top-right corner next to Basic Information).
On the new page, locate the Tags dropdown.
Choose the tag you want to assign from the list.
Assigning Tags in Bulk
If you’d like to assign tags to multiple employees at once, you can do this using a CSV file.
Navigate to the People tab.
Select Import Users.
Click Download CSV to get the template.
Open the CSV file and fill in the required details (such as email, name, etc.).
Add the relevant tag(s) under the tags_list column.
Save your file and re-upload it to the Ben platform.
Once imported, the tags will automatically be applied to the corresponding users.
Creating Notes
If you’re using notes as part of your programmes or benefits, this will have been discussed and configured during your onboarding or benefits setup.
You can include notes when importing users via a CSV file. Please note that notes won’t appear within the Ben Admin Portal — they’re primarily used to link users with programmes or benefits.
To add a note:
Go to the People tab.
Select Import Users.
Click Download CSV to open the template.
In the CSV, you’ll find a note field where you can add details for each user.
Save and re-upload the file to apply the notes.
