How to action incomplete data and missing enrolment data

How to fill out and complete missing requirements on user profiles within the platform.

It’s important to make sure your team’s profiles are complete — missing details can cause issues with benefit or allowance enrolments later on.

The Missing Requirements feature helps you spot what’s incomplete, so you can fix it quickly and keep everything running smoothly.

You can access this feature in the People section of the Admin Portal.


Understanding Employee Statuses

Each employee will have one of four onboarding statuses:

🟢 Setup complete

All information is filled in — they’re ready for benefit and/or allowance enrolment. Easy win.

🟡 Awaiting user action

The employee still needs to log in and complete their profile.
Admins can’t do this for them, but you can resend the invite email to give them a nudge.


(They may need to set up a Ben card passcode or add personal details during sign-up if they’re eligible for benefits.)

🟠 Enrolment data missing

Some information is missing that your admin team needs to update.

Here’s how to fix it:

  • If you don’t have an HR system integrated with Ben:

    • Download the CSV from the Missing Requirements banner.

    • Fill in the missing fields.

    • Re-upload the updated CSV to Ben.

  • If you do have an HR system integrated with Ben:

    • Download the CSV to see what’s missing.

    • Update the information in your HR platform.

    • The changes will sync automatically with Ben on the next update.

Inactive

The employee is no longer active on Ben.


Actioning the “Enrolment Data Missing” Status

Here’s what to do when an employee shows as Enrolment data missing:

  1. Download the CSV file from the Missing Requirements banner at the top of the People page.

  2. The file will list all the fields that need to be completed.

  3. Fill in anything marked as Missing.

  4. Upload the updated file back into Ben using the Import Users button (top right of the People page).

    • If your HR system is integrated, just update the data there — Ben will sync it automatically.

⚠️ Important: When importing the CSV, make sure you select whether blank cells should override existing data. You’ll need to choose an option before uploading.


CSV Format Requirements 📄

For everything to upload smoothly, certain fields need to follow specific formats:

Use alpha-2 codes (e.g. GB, ES, FR)

MALE, FEMALE, NOT_SPECIFIED

Marital Status

SINGLE, MARRIED, DIVORCED, SEPARATED, WIDOWED

MR, MRS, MISS, MS, OTHER

Salary Currency

GBP, USD, EUR, AED, etc.

Home Address Country

Use alpha-2 codes (e.g. GB, ES, FR)
